Mobile App Privacy Policy

For the Cabio passenger app and the Cabio driver app on Android and iOS.

1. Who this policy is for and who we are

This policy explains how the Cabio mobile applications handle your information. It applies to passengers who book journeys through the app and to drivers who receive and complete jobs through it.

The apps are published by Launchflow, 103A London Road, Grays, Essex, RM17 5YB, United Kingdom. Cabio is dispatch software licensed to independent, locally licensed taxi and private-hire operators. We are not a taxi operator: your journey is provided by the operator you booked with, and that operator decides how your booking data is used. Launchflow processes it on their behalf. For our platform-wide roles under UK GDPR see our full Privacy Policy & Data Processing Terms.

We handle personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Contact: hello@launchflow.co.uk.

2. Location data — including background location

The Cabio driver app collects location data to share a driver's live position with the operator's dispatch team and with the passenger being carried, even when the app is closed or not in use.

Background location collection in the driver app applies only while a driver has an accepted job in progress. It starts when a job is accepted and stops as soon as that job is completed or cancelled. It is never collected when a driver is offline or has no active job. Before the Android or iOS permission prompt is shown, the app displays an in-app disclosure explaining this, and a driver may decline — the app remains usable, and location is then shared only while the app is open.

What is transmitted is the vehicle's latitude and longitude, together with the driver identifier and contact number needed to attach it to the correct job. It is sent to the operator's dispatch system so they can allocate work and so the passenger can follow the vehicle on the tracking link.

In the passenger app, location is used only while the app is open — to fill in your pickup address and to display your driver approaching. The passenger app does not collect location in the background.

We do not use location data for advertising, and we do not sell it or share it with data brokers.

3. Everything the apps collect

The apps do not collect contacts, calendar, SMS messages, call logs, health data, files or documents, or your browsing activity in other apps. We do not use advertising identifiers and the apps contain no third-party advertising SDKs.

4. Permissions the apps request, and why

  • Location (precise and approximate) — pickup address entry, live driver tracking, arrival estimates.
  • Background location — driver app only, only during an accepted job, as described in section 2.
  • Foreground service — keeps location updates reliable while a driver is on a job, with an ongoing notification so it is always visible that tracking is active.
  • Camera and photos — only when you choose to set a profile picture.
  • Notifications — booking updates for passengers, job offers for drivers.
  • Run at startup — restores an in-progress job's tracking if the device is restarted mid-journey.

You can withdraw any of these at any time in your device settings. Withdrawing location permission does not delete your account; it limits the features that depend on it.

5. Who your data is shared with

We do not sell your personal data. The apps share data with:

  • The operator you booked with or drive for — they are the controller of your booking data.
  • The driver assigned to your journey — your name, pickup and destination, and a contact number. Calls between passenger and driver are masked, so neither party sees the other's real number.
  • Mapping and routing providers — to geocode addresses, draw routes and estimate arrival times.
  • Messaging and notification providers — to deliver SMS, email and push notifications.
  • Payment providers — to take card payments securely.
  • Hosting and infrastructure providers — to run the service, under data processing agreements.
  • Authorities — where we are required to disclose by law.

A full list of our sub-processors is published in section 10 of our Privacy Policy & Data Processing Terms.

6. How long data is kept

  • Location points — retained only as long as needed to complete and evidence the journey, then deleted or aggregated. They are not kept as a long-term movement history.
  • Booking records — retained by the operator for 7 years to meet HMRC and licensing obligations.
  • Account data — retained while your account is active, then deleted or anonymised within 30 days of a verified deletion request, except where law requires retention.
  • Push tokens — deleted when you sign out or uninstall.
  • Diagnostics — 90 days.

7. Deleting your account and data

You can request deletion of your account and associated personal data at any time:

We action verified requests within 30 days. Booking and financial records that we are legally required to keep are retained for the statutory period and then deleted; everything else, including your profile, contact details, saved addresses and location data, is removed.

8. Security

Data is encrypted in transit using TLS and encrypted at rest. Passwords are stored only as salted cryptographic hashes. Access is restricted by role, each operator's data is isolated from every other operator's, and administrative actions are logged. Report any suspected vulnerability to hello@launchflow.co.uk.

9. Children

The apps are not directed at children and we do not knowingly collect data from anyone under 13. A booking may of course be made on behalf of a child travelling — that booking is held against the adult account holder who made it.

10. Your rights

Under UK GDPR you have the right to access, correct, delete, restrict or object to the processing of your personal data, and to receive it in a portable format. Because the operator you booked with or drive for is the controller of that data, please direct requests to them in the first instance; contact us at hello@launchflow.co.uk and we will assist or pass the request on. You may also complain to the Information Commissioner's Office at ico.org.uk (telephone 0303 123 1113).

11. Changes to this policy

We may update this policy as the apps change. The current version is always published at cabio.cab/app-privacy/, with the date at the top of the page. Where a change materially affects what we collect, we will tell you in the app before it takes effect.
